Job Title: Office Manager/Marketing & Executive Assistant

Reports to: CEO

StudentBridge is seeking an Office Manager/Marketing & Executive Assistant to join our team. This person will work in a fast-paced, startup environment to help our growing company with daily office maintenance, some bookkeeping and HR activities, assisting the CEO and helping the marketing team expand our presence. To be successful, this person will collaborate with key players in the company, including C-Suite, Finance, Marketing, and Sales teams to make sure that each department’s needs are met. The candidate for this role will also be responsible for communicating with other departments within the company to aid in collaboration and keeping key activities on track.

Job Duties and Responsibilities

  • Point person for maintenance, mailing, shipping, supplies, equipment, bills and errands
  • Organize and schedule meetings and appointments
  • Partner with HR to maintain office policies as necessary
  • Coordinate with IT department on all office equipment
  • Provide general support to visitors
  • Manage executives' schedules, calendars and appointments
  • Responsible for developing and implementing office policies by setting up procedures and standards to guide the operation of the office
  • Organize orientation and training of new staff members
  • Ensure filing systems are maintained and current
  • Establish and monitor procedures for record keeping
  • Oversee adherence to office policies and procedures
  • Coordinate schedules, appointments and bookings
  • Monitor and maintain office supplies inventory
  • Review and approve office supply acquisitions
  • Handle customer inquiries and complaints
  • Help maintain a safe and secure working environment
  • Participate actively in the planning and execution of company events
  • Fulfill ad hoc marketing needs, including social post content creation and tradeshow execution
  • Fulfill ad hoc sales needs, including sourcing

Experience, Qualifications, and Requirements

  • Experience assisting a CEO/Owner in an executive assistant role
  • Proven office management, administrative or assistant experience
  • Knowledge of office management responsibilities, systems and procedures
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • Strong organizational and planning skills
  • Proficient in MS Office
  • Experience with QuickBooks
  • Ability to write copy and schedule social posts via software
  • Ability to lift up to 50 pounds with reasonable accommodation
  • Experience with coordinating and executing shipments
  • Knowledge of bookkeeping, data and administrative management practices and procedures
  • Knowledge of clerical practices and procedures
  • Knowledge of business and management principles
